Campus Labs: Taking attendance using a card swipe reader

Our recommended method for taking attendance is using the Mobile Check-In app method; however, you can also take attendance using the card swipe method. Keep in mind the following:

  • You must have full access to manage events in your group/organization.
  • This article assumes you have already created your event as well as received approval for it if you are a student group.
  • Attendees must have access to their event pass to be able to check-in. Learn more about Getting Your Event Pass.
  • To use the swipe card device, you need to have access to a device that has a USB port and provides keyboard emulation, such as a Windows laptop, Mac laptop, iPad, or Chromebook. Additionally, you will need to open any text editing application, such as Windows’s Notepad or Mac’s TextEdit, for the device to record attendance.
    • Note: After each swipe, your device must insert a carriage return. If it does not, then manually press the “enter” key or click the submit button on the card ID entry screen.
  • You can check out a Chromebook with a swipe card reader through Media Services, which is located in the back hallway behind the Information Services suite on the first floor of Julian. These are intended for single events. If you need one for a longer period of time, you may want to consider purchasing a Chromebook and card swipe reader so your group, department, or program have them on hand at all times.

Taking attendance using a card swipe reader

  1. Plug a card swipe reader into a USB port

  2. Go to the upper right of the screen, and then click Manage to open your Action Center
  3. In the My Memberships section of your Action Center, select the group that you want to add the event to
  4. Go to the upper left of your screen, and then click the Menu icon to open the dropdown menu
  5. Click Events
  6. In the Manage Events window, select the event you want to manage
  7. In the Event Actions section of the event page, click Track Attendance
  8. In the Swipe Access Code window, copy the Swipe Access Code, and then click the Swipe page URL
  9. Click in the Enter access code box, paste the Swipe Access Code, and then click Submit
  10. In the Ready to swipe window, click in the box
  11. Swipe a card through the card swipe reader. If a Success! message displays, your swipe was recorded. If it does not display, swipe the card again. Click Submit.
  12. Continue swiping cards
  13. Return to Track Attendance by closing the window and scrolling down to the Attendees section to make any necessary changes and to see a full list of attendees
