Creating a Secure File Upload Portal using Box File Request Folder

This method is useful for gathering sensitive documents from non-DePauw entities. It enables external users to upload documents to a specific Box folder without their seeing other files or knowing who else has uploaded materials.

Creating and Using a File Request Folder:

1.  In Box (http://box.depauw.edu), create or select a folder to collect the uploaded files.

Note: It is recommended that you use a departmental Box folder (e.g., Dept-AIS) rather than an individual’s personal Box drive area (e.g., “p-jdoe”) for File Request Folders.

2.  In the Sharing pane on the right of the Folder Directory, review the sharing settings on the folder to confirm the uploaded files will accessible only to DePauw members who should have access. Adjust the folder sharing settings as needed.

3.  In the Sharing pane, select File Request (Disabled).

4.  In the File Request window, select Edit.

5.  In the Submit Files window, configure the information and elements you wish to include on the upload screen.When finished. Click Save, then the X to return to the folder directory.

6.  In the Folder Directory, select File Request again.
Then click Link is Enabled to turn on the upload folder and copy the upload link.

7.  The upload portal is ready for external users to submit materials using the upload link.
For example:

When they click Submit, they will receive a confirmation screen that their file(s) have been uploaded.

8.  When files are uploaded, they appear in the Folder Directory:

9.   Select More Options > Properties > File Information to find other information that you collected in the upload portal:
